BuildingEstate Manager

Duties and Responsibilities
* To manage all operational aspects of the development.
* To provide a secure and safe environment for the residents, commercial tenants and staff at the development.
* To manage and supervise the in-house staff and oversee the work of the in-house operations teams and external contractors.
* To ensure the development is maintained to the standard commensurate with the managing agent’s portfolio status and value.
* To ensure compliance with the managing agent’s Health and Safety Policy for managed estates.
* Ensure all functions within the development are operating efficiently and effectively within agreed parameters.
* Agree and monitor SLA’s and KPI’s in respect of operations e.g. security, valet, maintenance, cleaning, health club, etc.
* Oversee the activity of the concierge and security teams to provide a safe environment.
* Oversee the management of information to residents originating from site e.g. website etc.
* Oversee a supportive and sympathetic front of house service to residents and respond to complaints in line with the complaints procedure.
* Deal with minor breaches of leases or estate regulations directly with residents and report major breaches to the Property Manager.
* Maintain records and administration systems in respect of site activities, as determined, in conjunction with the Property Manager.
* Provide operational information to the Property Manager as required supporting the preparation of the annual service charge budget.
* Review operational activity in respect of expenditure against budget as determined by the Property Manager.
* Ensure that the Deputy General Manager / Duty Managers are trained and empowered to act in the absence of the General Manager.
* Prepare monthly salary returns where necessary.
* In conjunction with the Property Manager ensure that the maintenance of the estate is undertaken in accordance with PPM and CAPEX plans through the in-house teams and contracted service providers.
Scope
Normal working hours are 40 per week, 8.30 a.m. to 5.30 p.m. Monday to Friday, with one hour for lunch. You will on occasions need to work alternative hours outside the standard working week to meet the requirements of the business. The General Manager should remain contactable outside of normal working hours, except when on annual leave.
Ideal Candidate
* The ideal candidate will have the following experience:
* Managing high value mixed use developments and related facilities with a diverse work force
* Providing a responsive customer service experience
* Experience of working with computer systems,
* Experience of managing external contractors and in-house service providers
* Experience of implementing H&S Policy
* Educated to A Level (or equivalent) and will be numerate and literate
The successful candidate would also be able to:
* Work to tight deadlines under pressure
* Communicate clearly in writing and orally
* Work in a team, have a flexible approach and build up key relationships with both colleagues and external partners
* Work on own initiative and prioritise workload
* Deal with difficult customers
* Be self -motivated with clear attention to detail
A knowledge of Facilities Management and Health & Safety in the workplace would be essential

Maintenance Porter

Our client manage a block of prestigioius and luxury block of flats and is currently seeking a maintenance porter in order to carry out basic maintenace tasks around the block. The ideal candidate will be smart, have oustanding customer service skill as well as maintenance experience.
Daily Responsibilities
* Check with Porters for any overnight problems reported by Residents or Night Porter.
* Review job list for the day and complete as required.
* Check all common parts for maintenance problems – breakages, light bulbs, leaks etc.
* Work with Back Stairs Porter to clean basement walkways, check drains and maintain as required.
* Check pest control measures –Report signs or rodent sightings
* Check goods lifts for maintenance and clean as required.
* Check roof doors for tampering or unauthorized access to the roof.
* Monitor Contractors ensure they are cleaning after themselves and that entrance and stairways are clear of obstruction. Report problems to their Site Manager and House Manager.
* Except in emergency, You are NOT enter any residents flat without authority from the Resident or House Manager. If you do enter a flat make note in the daily diary.
* At all times be vigilant for intruders or unauthorised entrants to the building. If you see someone who is in an unauthorized area, acting suspiciously or loitering stop and question them.
* Afternoon collection of rubbish from all flats via back staircase- replaces rubbish sacks
* Separate general refuse from recycled refuse and places in correct bins
* Check goods lifts – Goods lifts used by contractors should be cleaned by them at end of each day, report any lifts not cleaned.
* Check stores and compile a list of any materials needing resupply.
* Complete end of day routine, secure basement and turn off lights.
* Other jobs as given or agreed by the House Manager for the good and benefit of the building or Residents.
* Check all Fire Extinguishers for damage – Report any faults found
* Clean all CCTV camera cases and lens
* Inspect and repair any damage to entrance doors and back gates
* Check and clear area outside of the back gate (Fitzhardinge Street).
Working Hours 0900 – 1700 (Hours are slightly flexible) Monday –Friday (1 Hour lunch, 2 x 15 min breaks)
£17500 - £19000 per annum
